HANDBOOK



  1. CLASSES – Aldersgate Playschool offers a variety of  age level classes; a toddler class (walking to two years), a two year old class, a three year old class, and a four year old class.  Children are placed in a class depending on their age before August 31st.  Depending on the numbers of children enrolled in a certain age level by August 1st, there may be more than one class in an age group, or even a combination class.


  1. CLOSINGS/SCHEDULE – The Playschool operates from 9:00 am to 1:00 pm Monday through Friday.  Students should start arriving at 9 am and must be picked up at 1 pm.  Pick up at 1 pm means being outside the classroom door.   Parents must observe these times for insurance and respect to the staff.  Teachers and assistants use the time before and after Playschool for preparation and planning. 

·         There is a late charge for picking up your child after closing hours.  The late fee is $5.00 for the first 5 minutes and $1.00 for every minute after that.  There is no maximum charge for this fee.
·         Aldersgate Playschool will now advertise on WBTV its school closings for bad weather.  It will also be on WBTV.com. Playschool will not always follow the school closings so it is very important that you look for the DayCare closings and Aldersgate Playschool will be listed there.  Also, it will be posted on our blog site.  If you do not have access to a computer and need to be called about school closings, please inform your child’s teacher at the beginning of the school year.


2A.  DROP OFF DAYS – A child may attend an extra day from their regular scheduled days if there is space available in the classroom.  There is a $10.00 fee for an extra day.  The fee is due that day and cannot be added to tuition payments.  Please check with the teacher and director for availability.


3.  REGISTRATION – A completed registration form and fee of $55.00 reserves your child’s space for Playschool.  THIS REGISTRATION FEE IS NON-REFUNDABLE.  Registration begins in the spring for upcoming fall school year.  It is open first to currently enrolled Playschool children and their siblings and also church members on a first come first serve basis.  After the Playschool children are enrolled, registration will be open to the public. Waiting lists are used if space is not available in classes. In the event you should drop days that you previously registered for, you will be responsible for payment of those days until the spot is filled.

4.  TUITION - Tuition is paid  in monthly installments due by the 1st of each month, beginning with September and ending with the May tuition.  Tuition is considered late on the 10th of each month.  A late fee of 15.00 will be charged per child if tuition is received after the 10th.  All tuition must be paid DIRECTLY to the director.  Cash payments should be in an envelope with the child's name on it.  Because tuition is an annual fee, NO REFUNDS or NO MAKE UP DAYS are given for illness, vacations, or snow days. Also, because our classes stay very full, we cannot switch a child’s days around due to illness, etc.  The only exception is a party day when your child’s teacher will make arrangements for your child to attend that day. The tuition per month is based on the number of days a child attends per week.  All tuition must be paid in full at registration time to be able to enroll for the next year's program.  Also, tuition must be paid in full to participate in graduation.

5.  BRINGING AND PICKING UP YOUR CHILD - ALL CHILDREN MUST BE WALKED TO AND FROM THEIR CLASSROOM EACH DAY. ONLY ADULTS LISTED ON YOUR REGISTRATION PAPER WILL BE ALLOWED TO PICK UP CHILDREN. We ask that when you bring your child to school each morning , you give them a warm hug and good-bye.  Please do not enter the classroom, as a quick good-bye is easier on your child, and the teacher can provide a better supervised classroom when not being occupied by a parent.  Please do not "look in" on your child during the day.  This may cause unnecessary upset to your child as well as cause disruption to the other children.  If someone other than a parent is bringing or picking up a child the teacher must be informed on the said day.  Any last minute changes in picking up a child, the parent must call the Playschool office with identification of the individual.  We require proof of identification for someone we don't know before releasing a child.

6.  PARKING - Parents must park their car in designated parking spaces in the front parking lot. 
  • Please do not park or drop your child off in the semicircle driveway parallel to Charles Road.  This area is reserved for the church staff. 
  • Please do not park your car along the driveway beside the Epworth building or in front of the gym.  This only blocks and prevents cars from moving around the front and side of the gym. 
  • Also, please do not park along the road at the back of the church.  This is a traffic hazard and the city police will issue citations.
  •  We also respectfully ask that you do not use any handicapped spots.  There are many meetings and functions during the day and those spots need to be left open for those who need them.

7.  HEALTH ISSUES/COURT PAPERS - NEVER BRING A  CHILD WHO IS SICK TO PLAYSCHOOL.   Please do not bring your child to Playschool when he or she displays any of the following symptoms: fever, fever over 100.4 within the past 24 hours, vomiting, nausea, diarrhea, pink eye, lice, chicken pox, lethargic, or very irritable.  If your child becomes ill while at Playschool a parent will be notified immediately.  Please notify the school when your child has a communicable disease. 
  • NO MEDICINE WILL BE GIVEN TO A CHILD AT PLAYSCHOOL BY ANYONE. The only exception will be emergency medications such as inhalers or allergic reaction medications that must be administered immediately.   A permission form must be signed by the parent and specific instructions given in order to administer the emergency medications.  These medications should be brought in a zip-loc bag with the child's name boldly on the front of the bag and also written instructions attached.
  • To protect the children, we require an updated immunization record of all state required vaccines be kept on file with the director each year. These must be received 30 days from the first day  of school.  Also,please submit any updated  immunization records within 30 days of any changes to the record. 
  • Any court ordered documents must be discussed with the teacher and director and be filed in the director's office. 
  • Please keep the teacher and director updated on any changes in phone numbers. 
  • Childcare provider notices must be received for all special health needs.  Also, if emergency medical supplies are left to be administered, please provide an instruction form. Examples of this would be Epi-pens, asthma inhalers, etc
* Notes from the childcare provider may also be requested for return to school.

8.  DIAPER AND POTTY TRAINING - Children in the toddler class must wear disposable diapers throughout the school year.  We do not have bathroom facilities in the toddler class and can not have a teacher or assistant out of the room at any time.  The two year old students need to wear disposable diapers or pull-ups (only the ones with the Velcro side closures) to Playschool unless potty trained.  Please bring extra diapers/pull ups to keep in your child's classroom.  All diapered children are changed at least once during the Playschool time and more often if necessary.  A three year old student should be potty trained.  The teachers do understand that accidents happen and will assist the child in getting to the bathroom. We do realize that not all children potty train by age three. Please see the three year old class policy and procedures for non-potty trained three year olds.

9.  DRESS - We encourage the children to wear washable, comfortable play clothes and tennis shoes.  The gravel on the playground is not fun to walk on with sandals.  Daily activities include messy play and children need to be comfortable to enjoy themselves and not worry about their clothing.  Please remove all cords and ties from jackets to provide for safety on the playground.

10.  BIRTHDAYS - We are glad to celebrate birthdays with a small treat such as cupcakes or cookies.  Please feel free to bring a special treat to share at lunch with your child's class on or near their birthday.  Each class celebrates birthdays in a special way so discuss your child's birthday with the teacher.  We please ask that parents not assist with the birthday party celebration so that class continuity can be continued even during parties.

11.  TOYS AND SUPPLIES - Children may bring one item  for show and tell on the designated show and tell days.  Books, puzzles, educational objects, and games are encouraged.  Please do not bring anything of sentimental or monetary value or large items.  No war or weapon toys are allowed.

12.  FOOD - Lunch time is held in each classroom between 11 am and 12:30 pm daily,.  Please pack a nutritional lunch including a drink for your child each day.  Do not send canned carbonated beverages.  Foods that present a choking hazard must be avoided.  Do not allow your child to have gum or candy upon entering the classroom as these are choking hazards and dangerous to a child's health.  We do not have facilities for heating up foods.  Please have your child's name on all cups and containers in the lunch box.

13.  PERSONAL BELONGINGS AND INFORMATION - Please label your child's coats, lunch box, book bag, etc..  In case of an accident or messy art activity, we ask that children in all classes bring a change of clothes (socks and underwear, too) in a large zip lock bag with their name on it.  Your teacher will let you know when to replace with a winter change of clothes.

14.  ACCIDENT AND INJURY POLICY - Whenever an accident presents blood or serious injury incurred by a teacher, assistant or child while at Playschool, the incident will be documented and signed by an adult witness to the accident.  Parents are also asked to sign the report after it has been explained to them.  If any type of first aid is administered, that will also be documented.  All accident and first aid reports will be kept by the Director of the Playschool in the office for one year.  Please keep the teacher and director updated on any changes in address or phone numbers throughout the year as a parent may need to be contacted immediately.

15.  CRISIS INTERVENTION PLAN - Aldersgate Playschool has prepared a written crisis intervention plan.  In the event of threatening weather, accidents, or outside threats happening on the campus, the staff has been trained to obtain safety for the children and notification of the parents.  The Playschool has a fire evacuation plan and practices fire drills during the year.

16.  PLAYSCHOOL COMMITTEE - All operations and policies of the Playschool are overseen by a Playschool committee that is made up of church members and Playschool parents (church members and non-church members).  The committee is approved by the church council from a list of volunteer church members.  The Playschool director is required to report to the committee periodically throughout the year on any school operations, financial reports, staff employment (with their approval), policies,  and recommendations.

17.  DISCIPLINE - Under no circumstances do we spank, shake, or verbally abuse a child.  A time out chair is used for brief periods of time.  In the event a child displays belligerent or repeated misbehavior a conference with parents, teacher, and director will be held.
         POLICY  For  Repeated Belligerent Behavior:  This policy is designed to stop belligerent behavior, provide a positive and healthy classroom environment for all, and establish communication between parent, teacher, and child,  Belligerent behavior may be defined as any verbal or physical hostile behavior such as cursing, biting, scratching, punching, or fighting.
         A.  When belligerent behavior is displayed by a child, the child will be disciplined immediately by the teacher and the child's behavior will be documented by the teacher.  The parent will be notified about this behavior the day it occurs.  The Playschool Director will keep the documentation in her files.
         B.  During the initial conference with the parents, the child's behavior will be discussed (both appropriate and inappropriate behavior the child exhibits).  A plan will be discussed and agreed upon by parent, teacher, and director in which specific methods (charting behavior, rewarding positive behavior, or other methods) will be implemented during Playschool.  During the initial conference, a second conference will be scheduled approximately a month later, depending on the circumstances.
         C.  During the second conference, the teacher will report on improved behavior, inappropriate behavior and the effectiveness of discipline in the classroom.  If the belligerent behavior has greatly improved, a third meeting will not be scheduled.  If the child is still displaying belligerent behavior, other resources for the family may be discussed and/or suggested.  A third conference will be scheduled approximately one month later in which a final evaluation will take place.
         D.  During the third conference, the teacher will report on improved behavior, inappropriate behavior, and any change noticed since the last conference.  If belligerent behavior is still continuing, the child will be dropped from the Aldersgate Playschool Program.  The parents may be advised of resources available to their child and family.

18. ALDERSGATE UNITED METHODIST CHURCH CAMPUS AND POLICIES – We are fortunate to be able to use this campus for all our activities and events.  Here are a few policies of the church we must also abide by:
* It is a non-smoking campus
* The Epworth building is where we do many of our programs.  The policy there is one we will adhere to as well: “All persons using the Epworth facilities will be expected to maintain a behavior in keeping with the highest standards of Christian life.”  If these policies are not upheld, you may be asked to leave the campus.
